About this role

You will liaise with internal and external stakeholders (including investors, brand partners and the general public) and manage inbound enquiries on the co-founders’ behalf.

Importantly, you will help drive ULUU’s general & administrative operations, including bookkeeping & budgeting, implementing best practices to manage invoice payments & reconciliations on Xero, payroll, tax, insurance, as well as reporting to leadership.

At other times, you will coordinate hiring processes (managing applications, scheduling interviews) & onboarding/ inductions. And you will organise special meetings, internally at ULUU, or with brands, investors and other partners, preparing briefs, minutes/ action items and executing on key deliverables from time to time.

You will also own important, ad hoc projects (lots of things popping up all the time that need someone super smart to run with!) – from special marketing events, helping to set up new labs/ offices, to research into strategic opportunities as we begin to scale up ULUU and bring the world along for the ride!

Your support will be critical as we continue to move fast and prepare to launch what we’re working on to the public.

About You

You are proactive and driven to help build companies and products that are good for the world.

You write clear & succinct emails and briefs and can strike the right tone in your approach to building constructive, long-term relationships.

You understand the commercial issues, with good excel & presentation skills, and are also experienced in accounting & bookkeeping (ideally chartered accountant by training).

You maintain a tidy ship! You have great experience working with leadership in a management/ executive assistance and or business administration roles. You’re keen to implement & train others on useful work practices & software to manage workflows and strengthen productivity.

You are self-motivated, reliable and tackle problems hands-on, with a can-do attitude.

With a strong attention to detail and a focus on execution, you are also able to quickly synthesise disparate information into clear recommendations, decisions and, most importantly, actions.

Responsilities
  • Prepare meeting briefings and minutes, including for board and shareholder meetings.
  • Liaise with internal and external stakeholders (including investors, brand partners and the general public) and manage inbound enquiries on the co-founders’ behalf.
  • G&A – including bookkeeping & budgeting, implementing best practice systems & practices to manage invoice payments & reconciliations on Xero, payroll, tax, insurance, website management, and reporting to leadership.
  • Special projects and office duties as required – eg organising marketing events, helping set up new offices/ labs, travel planning.
  • Train others with respect to workflows & productivity software.
  • HR – from time to time, managing applications, coordinating interviews and onboarding/ inductions.
  • A spare pair of hands – assistance with research into new strategic opportunities, manage deliverables across marketing, social media, fundraising and partnerships as appropriate.
Requirements
  • At least 5 years’ relevant experience, preferably with a degree in business/ commerce or accounting, CPA/ CFA, or similar.
  • Demonstrated experience working with leadership or C-suite in a management/ executive assistance and or a business administration capacity.
  • High-growth start-up experience is a bonus.
  • Strong communicator – an ability to write incredibly clear & succinct emails and briefs, and build constructive, long-term relationships.
  • Pragmatic and commercial, with great judgement and an ability to multi-task and prioritise in a fast-paced working environment.
  • Highly capable with Xero, with a good knowledge of basic accounting and tax principles.
  • Experience with WordPress helpful.
  • Well-organised, with strong attention to detail.
  • An inquisitive mind, with an interest in continued learning and development.
  • A love for the ocean!
